Calendar Sync

See all your bookings in the calendar app you already use. One-way sync via iCal keeps Google Calendar, Apple Calendar, and Outlook up to date automatically.

How Calendar Sync Works

Guidewinds generates an iCal feed URL unique to your account. When you subscribe to this feed in your calendar app, all your bookings appear as events — and stay updated automatically as new bookings come in or existing ones change.

This is a one-way sync: bookings from Guidewinds appear in your calendar, but events created in your calendar do not sync back. Your Guidewinds dashboard remains the source of truth.

Plan Requirement

Calendar sync is available on all plans, including the free tier.

Getting Your Feed URL

  1. Go to Dashboard → Settings → Calendar
  2. Click "Generate Calendar Feed"
  3. Copy the iCal URL that appears

Keep Your URL Private

Your calendar feed URL contains a private token. Anyone with this link can see your booking schedule. Do not share it publicly. If your URL is compromised, you can regenerate it from the same settings page (which invalidates the old one).

Google Calendar

  1. Open Google Calendar on your computer (calendar.google.com)
  2. In the left sidebar, click the + next to "Other calendars"
  3. Select "From URL"
  4. Paste your iCal feed URL
  5. Click "Add calendar"

Google Calendar refreshes subscribed calendars roughly every 12–24 hours. New bookings may take up to a day to appear, though it's usually faster.

Pro Tip

After adding the calendar, you can rename it (e.g., "Guidewinds Bookings") and assign it a distinct color so your bookings stand out from personal events.

Apple Calendar (iPhone, iPad, Mac)

On Mac:

  1. Open the Calendar app
  2. Go to File → New Calendar Subscription
  3. Paste your iCal feed URL and click "Subscribe"
  4. Set the auto-refresh interval (every 5 minutes for near-real-time updates)
  5. Click "OK"

On iPhone or iPad:

  1. Go to Settings → Calendar → Accounts
  2. Tap "Add Account" → "Other"
  3. Tap "Add Subscribed Calendar"
  4. Paste your iCal feed URL
  5. Tap "Next" and then "Save"

iCloud Sync

If you subscribe on your Mac with iCloud Calendar enabled, the subscription will automatically appear on your iPhone and iPad too.

Outlook

Outlook Desktop (Windows/Mac):

  1. Open Outlook and go to the Calendar view
  2. Click Add Calendar → From Internet
  3. Paste your iCal feed URL
  4. Click "OK" to subscribe

Outlook Web (outlook.com):

  1. Open Outlook on the web and go to Calendar
  2. Click "Add calendar" in the left sidebar
  3. Select "Subscribe from web"
  4. Paste your iCal feed URL, give it a name, and click "Import"

What Syncs

Each booking appears as a calendar event with the following details:

  • Title: Trip name and angler name (e.g., "Half-Day Offshore — John Smith")
  • Date & time: The scheduled date and time of the trip
  • Duration: Matches the trip duration
  • Description: Angler contact info, party size, any special notes, and a link back to the booking in your dashboard
  • Status: Confirmed, pending, or cancelled (cancelled bookings show with a "CANCELLED" prefix)

Pro Tip

The dashboard link in each event description lets you jump straight from your calendar to the booking detail page with one click.
