Exporting Your Data

Your data belongs to you. Here's how to download bookings, anglers, and reports for your records, taxes, or analysis.

Your Data, Your Control

At Guidewinds, we believe your data belongs to you. You can export everything—bookings, anglers, financial records—whenever you want.

Why Export?

  • Tax preparation: Give your accountant a clean record of revenue
  • Business analysis: Analyze trends in spreadsheet software
  • Backup: Keep an offline copy of your records
  • Migration: Move to another system if needed
  • Reporting: Create custom reports

Exporting Bookings

How to Export

  1. Go to Dashboard → Bookings
  2. Apply any filters you want (date range, status, etc.)
  3. Click "Export" in the top right
  4. Choose your format (CSV or Excel)
  5. Download the file

What's Included

Each booking export includes:

  • Confirmation number
  • Angler name, email, phone
  • Trip booked
  • Date and time
  • Party size
  • Add-ons selected
  • Total price
  • Amount paid
  • Payment status
  • Booking date (when they booked)
  • Status (confirmed, completed, cancelled, etc.)
  • Special requests/notes

Filter Before Exporting

Use filters to export exactly what you need. For example, export only "Completed" bookings for a specific year for tax purposes.

Exporting Anglers

How to Export

  1. Go to Dashboard → Anglers
  2. Click "Export" in the top right
  3. Choose your format
  4. Download

What's Included

Each angler record includes:

  • Name
  • Email
  • Phone
  • Number of bookings
  • Total spent
  • First booking date
  • Last booking date
  • Your internal notes

Marketing Use

You can import this angler list into email marketing tools (like Mailchimp) to send newsletters or promotions. Just make sure to comply with email marketing laws (include unsubscribe option, etc.).

Exporting Payments

Payment Export for Accounting

  1. Go to Dashboard → Settings → Data
  2. Find "Payments" under Export Data
  3. Click "Export" and select your date range
  4. Download the CSV file

Each payment export includes:

  • Date and time
  • Angler name
  • Amount
  • Associated booking
  • Stripe transaction ID (for reconciliation)

For Your Accountant

The Payments export is optimized for QuickBooks and Xero. It includes Stripe transaction IDs so your accountant can reconcile with your Stripe payouts.

Team Schedule Export (for Payroll)

If you have team members, you can export their hours worked:

  1. Go to Dashboard → Settings → Data
  2. Find "Team Schedules" under Export Data
  3. Select your pay period dates
  4. Download the CSV

Ready for Gusto, QuickBooks, or other payroll software.


Export Format

All exports are in CSV (Comma-Separated Values) format, which:

  • Opens in Excel, Google Sheets, Numbers, or any spreadsheet program
  • Is widely compatible with accounting software
  • Can be imported into other systems easily
  • Uses UTF-8 encoding for proper character support

Pro Tip

To open a CSV in Excel: double-click the file, or go to File → Open and select the downloaded CSV.

Full Account Export

Need to download everything at once?

  1. Go to Dashboard → Settings → Data
  2. Find "Full Data Export" section
  3. Click "Export All Data"
  4. A ZIP file will download to your computer

The ZIP file includes:

  • bookings.csv — All bookings with angler details
  • customers.csvAngler contacts and booking history
  • services.json — Your trips and add-ons
  • availability.ics — Calendar file you can import anywhere
  • business.json — Your business profile and settings

Data Portability

Your data belongs to you. This full export ensures you can take your entire history with you if you ever decide to leave Guidewinds. No lock-in, no data hostage situations.

Rate Limit

Full exports are limited to once per day. For regular reporting, use the individual export options above.

API Access (Advanced)

For automated integrations, higher-tier plans include API access.

Getting API Keys

If your plan includes API access, find your keys at Dashboard → Settings → Developer.


Common Export Scenarios

Year-End Tax Prep

  1. Go to Dashboard → Settings → Data
  2. Export "Payments" with date range January 1 - December 31
  3. Download the CSV
  4. Send to your accountant

Monthly Business Review

  1. Go to Dashboard → Analytics
  2. Use the period selector to view the month
  3. Review revenue, booking counts, and trends
  4. Export bookings if needed for deeper analysis

Email Newsletter List

  1. Go to Dashboard → Settings → Data
  2. Export anglers to CSV
  3. Import into your email marketing tool (Mailchimp, etc.)

Privacy & Security

Who Can Export?

Only account owners and admins can export data. Team members with limited roles cannot access full exports.

Handling Exported Data

Once you export data, you're responsible for its security:

  • Store files securely
  • Don't share angler information inappropriately
  • Delete old exports you no longer need
  • Follow applicable privacy laws (GDPR, etc.)
